Set how a project bills

Hourly rates, custom rates per person, fixed fees, and non-billable work.

A project’s billing decides how its time is valued: by the hour, as a fixed fee, or as non-billable labor.

Change the billing

  1. Open Projects & Clients and select the project.
  2. Select the billing beside the project title.
  3. Choose an option. The change saves as soon as you pick it.

Hourly options

  • Match client: uses whatever the project’s client bills at. Available when the project has a client.
  • Member rates: each person’s billable rate from their member profile.
  • Custom rates: a rate you set for each person on this project. Anyone without one uses their member rate, and anyone with neither counts as $0.
  • Activity rates: the rate of each activity category.
  • Flat rate: one hourly rate for everyone on the project.

Fixed fee bills the agreed fee and compares it with the effort at each person’s billable rate. Non-billable values the project at labor cost, using each person’s internal cost rate.

Set custom rates for people

Choose Custom rates, then switch Project Overview to Money. Each person under Team Members shows a rate chip. Select a chip and type their rate for this project. Clear the field to return them to their member rate.

Clients bill the same way

A client can bill at Member rates, Custom rates, Activity rates, or a Flat rate. Projects set to Match client follow it. Set a client’s rates from its details in the Clients view.

Common questions

Can I bill one person at a different rate on one project?

Yes. Set the project’s billing to Custom rates, switch Project Overview to Money, and type the person’s rate into their chip under Team Members.

Does changing a project’s billing change past time?

Switching the billing option reprices time already logged, and the confirmation offers Undo. A rate typed for one person, or a new amount on the same flat rate, applies from today.

What does Match client mean?

The project bills at whatever its client bills at. If the client’s rates change, the project follows them.

How is a non-billable project valued?

At labor cost, using each person’s internal cost rate. Time from people without a cost rate isn’t counted, and the chart notes how much is missing.
