Invite, archive, and restore members

Add people, change their access, and archive or restore them.

Invite people, change what they can access, and archive or restore them from Settings → Members.

Invite a member

  1. Open the invite
Go to Settings → Members and select Invite Member.
  2. Enter the details
Enter their email and choose the team under Records time to. Choose None to invite a read-only viewer instead.
  3. Set their access
Tick Workspace administrator or Manages this team if needed, then select Send invite.

While an invite hasn’t been accepted, you can find it with Filters next to the search field, under Pending invites. Resend or revoke it from there.

Change a member’s access

Select the person to open their Member profile. Change Records Time To, switch Workspace Admin on or off, or use Add Access to grant Viewer or Manager access to another team. Admins can also grant access to a department, or to All teams under Whole Workspace. Select Save changes to apply.

For quick changes, use the members list itself. A new Records Time To team saves as soon as you pick it. The access popover on each row has its own Save access button.

Turn a member into a viewer

A viewer can see the time they have access to but doesn’t record their own. Only workspace admins can convert people. In Settings → Members, open the More actions (…) menu on the person’s row and choose Convert to viewer. They stop recording time, their team access becomes view-only, any admin or manager access is removed, and their paid seat is freed.

To switch a viewer back, choose Convert to team member, then pick the team they record time to under Choose a team. This adds a paid seat. The Workspace Admin switch is hidden for viewers, so convert them to a team member before making them an admin.

Archive a member

  1. Open their profile
Select the person, then select Archive member under Membership.
  2. Read what changes
Their desktop app stops recording time, they lose workspace access and leave their team. If they have a paid seat, it’s released from your subscription. Viewers don’t use a paid seat.
  3. Type their name to confirm
Type the name shown, or their email if they have no display name. Capital letters don’t matter. Then select Archive member. It takes effect immediately.

Their recorded time and timesheets are kept.

Restore an archived member

Once someone is archived, workspace admins see an Archived Members section on the Members page. Choose the team under Restore To, then select Restore. Timeglass preselects the team they last recorded time to. Restoring puts them back on a team and adds a paid seat. Their past time is kept.

Common questions

How do I remove someone who left the company?

Open their profile under Settings → Members, select Archive member, type their name to confirm, and select Archive member. Their recorded time and timesheets are kept.

Does archiving a member reduce my bill?

Yes, for anyone with a paid seat. Archiving releases their seat from your subscription. Viewers don’t use a paid seat, so archiving them doesn’t change your bill.

Can I undo an archive?

Yes. Admins can restore the person from the Archived Members section on Settings → Members. Restoring puts them back on a team and adds a paid seat.
